The Sunroom includes seating for up to 60 guests and can accommodate up to 100 guests standing.

Final layout and guest count may depend on your event type, table setup, food setup, decor, and whether you are using the space for a seated or standing event.

What is Moonlight Court best for?

Moonlight Court is a flexible event space with an interior room and courtyard access. It is a great fit for graduation parties, retirement parties, receptions, brand events, intimate celebrations, and gatherings that benefit from both indoor and outdoor space.

Moonlight Court has a more intimate feel and gives guests the option to move between the interior space and the courtyard.

How many guests can Moonlight Court hold?

Moonlight Court includes interior seating for up to 52 guests and courtyard seating for up to 36 guests.

Additional chairs, decor, or rentals may be brought in by the renter at the renter’s expense.

Is the courtyard included with Moonlight Court?

Yes. The courtyard is included with Moonlight Court rentals. It provides additional outdoor seating and gives events a more open, relaxed flow.

Are simultaneous events allowed?

Yes. There are no restrictions on simultaneous events at this time. Depending on the date, The Sunroom and Moonlight Court may be booked separately by different renters.

What are your current event rental prices?

Current event pricing is listed at www.sunroomstudio.co/book. Pricing may vary depending on the space, day of the week, event length, and availability.

What is the minimum rental time?

The minimum event rental is 3 hours.

Event rentals are available in hourly blocks of:

  • 3 hours

  • 4 hours

  • 6 hours

  • 12 hours (Full day)

Setup and cleanup time must be included within the rental block you choose.

Does my rental time include setup and cleanup?

Yes. Setup and cleanup must be completed within your booked rental time.

For example, if you book a 3-hour event, that 3-hour block includes all vendor arrival, decorating, guest time, cleanup, trash removal, and exit from the space.

We recommend choosing a rental block that gives you enough time to set up, enjoy your event, and clean up without feeling rushed.

Is a deposit required to book?

Yes. A 50% retainer is required upfront to reserve your date and time.

The remaining 50% balance is due one month before your event.

When is the final balance due?

The final balance is due one month before your event date.

Do you offer a paid-in-full discount?

Sometimes we do run specials that include a pay-in-full discount. You can email, call, or DM us to find out more.

What is your cancellation policy?

Cancellations are not allowed within 30 days of the event date.

Because your date and time are reserved exclusively for you, we recommend confirming all important details before booking.

Can I reschedule my event?

Events may be rescheduled if the request is made at least two weeks in advance and a new date is available.

Reschedule requests are subject to availability.

What is included with a Sunroom event rental?

The Sunroom includes seating for up to 60 guests, with space for up to 100 standing guests.

The space also includes access to available tables, chairs, lounge furniture, select props, background stands, arches, restrooms, Wi-Fi, and a Bluetooth speaker upon request.

What is included with a Moonlight Court event rental?

Moonlight Court includes interior seating for up to 52 guests and courtyard seating for up to 36 guests.

Moonlight Court currently includes access to a fridge and sink, along with tables, chairs, restrooms, Wi-Fi, and available decor or prop pieces.

Are tables and chairs included?

Yes. Tables and chairs are included with event rentals.

The Sunroom includes seating for up to 60 guests. Moonlight Court includes interior seating for up to 52 guests and courtyard seating for up to 36 guests.

Additional chairs, specialty rentals, or extra decor may be brought in at the renter’s expense.

Is lounge furniture included?

Yes. Some lounge furniture and organic seating pieces are available, including couches and barrel chairs.

Furniture availability and placement may vary depending on the event and space.

Do you have arches or backdrop stands?

Yes. Several arches and background stands are available for use during events. These can be used for ceremonies, photo backdrops, dessert tables, shower decor, brand activations, or other styled moments.

Does the venue have restrooms?

Yes. Restrooms are available for event guests.

Is Wi-Fi available?

Yes. Wi-Fi is available at the venue.

Is there a sound system?

A Bluetooth speaker is available upon request.

Renters are responsible for managing their own music, playlists, and sound levels during the event.

Is there a kitchen or fridge?

Moonlight Court currently offers a fridge and sink.

The Sunroom does not currently include a full kitchen or refrigerator. Renters should plan accordingly for food, drinks, coolers, catering, and serving needs.

Is there parking?

Street parking is available near the venue. Guests should plan for downtown Waco street parking and nearby public parking options as needed.

Is staff included during the event?

Events are self-managed rentals. This means the renter is responsible for setup, vendor coordination, guest flow, cleanup, trash removal, and making sure the space is left in good condition before the rental time ends.

Food, Drinks, and Vendors

Can we bring our own food?

Yes. Renters may bring their own food at their own expense.

You are welcome to bring snacks, desserts, catered meals, grazing tables, drinks, or other food options that fit your event.

Can we hire our own caterer?

Yes. You may hire any caterer or vendor you like. We do not require renters to use a specific caterer.

Are there required vendors?

No. There are no mandatory vendors.

We recommend The Gloria Hotel for guests needing accommodations, but renters are not required to use any specific vendors.

Can we bring alcohol?

Yes. Alcohol may be brought in by the renter.

Renters are responsible for following all applicable laws, managing guests responsibly, and making sure the event remains safe and respectful.

Is a bartender required?

No. A bartender is not currently required.

Are food trucks allowed?

Yes. Food trucks are allowed. Renters are responsible for coordinating directly with the food truck and confirming any setup needs in advance.

Can we bring our own decorations?

Yes. Renters may bring their own decorations, florals, signage, balloons, linens, tableware, and event details.

All decorations must be removed before the event rental time ends.

Are open flames allowed?

No. Open flames are not allowed.

Are candles allowed?

Open-flame candles are not allowed. Battery-operated candles are a good alternative.

Is glitter allowed?

No. Glitter is not allowed.

What decorations are not allowed?

Open flames and glitter are not allowed.

All decorations must be picked up before your event time ends. Renters are responsible for removing all personal items, decor, food, trash, and vendor items from the space within the booked rental window.

Cleanup, Trash, and Fees

What are the cleanup expectations?

Renters are responsible for leaving the space in good condition before the rental time ends.

This includes:

  • Sweeping as needed

  • Cleaning up any messes

  • Removing all decorations

  • Removing all food and drinks

  • Taking all personal items

  • Returning the space to its expected condition

  • Taking trash to the cans in the alley

If the space is left with excessive mess, the renter may be subject to a cleaning fee.

What do we do with trash after our event?

All trash must be taken to the trash cans in the alley.

If the venue’s trash cans are full, renters are responsible for taking the trash with them.

Trash that is not properly removed may be subject to a separate trash fee.

Is there a cleaning fee?

A cleaning fee may be charged if the space is left with messes that require additional cleaning.

Renters are expected to clean up before the event time ends and leave the venue in good condition.

What happens if something is damaged or missing?

Renters may be subject to fees for damaged or missing items. This includes damage to furniture, walls, floors, decor, fixtures, props, or any other venue property.

What is the overtime policy?

Overtime is charged by the hour at a rate of $300 per hour.

All setup, event time, cleanup, vendor pickup, and guest exit must be completed within the booked rental block to avoid overtime charges.

Policies

What is the smoking policy?

Smoking is not allowed inside the venue.

Renters are responsible for making sure guests follow the venue’s smoking policy and respect the property.

What is the music or noise policy?

Music and event sound should remain at a respectful level. Renters are responsible for managing sound during their event and making sure music, guests, and vendors do not disrupt neighboring businesses or other events.

A Bluetooth speaker is available upon request.

Are children allowed?

Yes. Children are allowed at events with parents/gaurdians.

Renters are responsible for supervising children and making sure the space, furniture, props, and decor are treated respectfully.

Are pets allowed?

Please contact us before bringing pets to an event. Service animals are allowed as required by law.

Is event insurance required?

Event insurance is not currently required.

Can vendors arrive early?

Vendor arrival, setup, and pickup must happen within the booked rental block. If your vendors need extra time, please book a longer rental block to allow enough time for setup and cleanup.

Can we leave decorations or rentals overnight?

No. All decorations, rentals, food, drinks, trash, and personal items must be removed before the end of your booked event time unless otherwise approved in writing.

Photography and Add-Ons

Do you offer event photography?

Yes. Event photography is available through Breanne Johnson Photography.

Photography can be added to events hosted at The Sunroom & Moonlight Court Event Space. This is a great option for showers, birthdays, micro-weddings, brand launches, graduation parties, retreats, and other celebrations.

Is there a discount when booking the venue and photography together?

Yes. A discount may be available when booking both the venue and photography together.
